The challenge

Every anchorage project Engineered Supply completes requires a formal inspection and certification logbook. These documents are safety-critical: they record each anchor's test results, the applicable OSHA regulatory requirements, photos, record drawings, and a schedule of future retest dates that building owners depend on.

Producing them was slow, manual work. For every project, the team had to:

  • Type in every anchor's test data row by row, sometimes for well over a hundred anchors in a single building
  • Hand-calculate five- and ten-year retest schedules
  • Insert, resize and caption site photos by hand
  • Copy anchor layout drawings in from separate PDF files
  • Select the right template and regulatory language for each of four logbook types: Fall Protection, Rope Descent, Swingstage, or a combination
  • Hunt for leftover placeholder text before anything could go out the door

With hundreds of projects a year, this added up to a significant amount of time, and every manual step was a chance for an error: a wrong test year, a swapped retest interval, a duplicated anchor ID, or a missing note on a failed anchor. That meant extensive checking and proofreading before each logbook could be delivered.

Our solution

The opportunity first surfaced during an AI training session Infomathics AI delivered for the Engineered Supply team. We worked closely with their project team to map the existing process end to end, then designed and built a custom logbook generation system around the way they already work.

Instead of assembling each document by hand, the team now fills in a single structured Excel intake form, drops the project's photos and record drawing into a folder, and runs the tool with a double-click. A complete, formatted logbook comes out the other side as both a Word document and a print-ready PDF.

The system automatically:

  • Applies the right template and regulatory language for the logbook type, so OSHA citations, scope and limiting conditions are always correct
  • Builds every anchor testing table from the intake data, with failed anchors flagged and their notes included
  • Calculates retest schedules automatically for five- or ten-year intervals, with no hand calculation
  • Places and sizes photos consistently keeping layouts clean and on the right pages
  • Inserts the record drawing in the correct position within the appendices
  • Applies Engineered Supply's branding and formatting on every page, exactly matching their templates
  • Validates the input with dropdowns and checks, catching entry mistakes before a document is produced

We deliberately built it as a reliable, rules-based system: the same input always produces the same correct output, which is exactly what a safety-critical document needs. We also packaged it so it runs on both Windows and Mac without anyone needing to know any code, and provided a plain-English setup and operating guide.
